As an Executive Assistant, you will ensure the smooth operation of daily tasks, projects, and client relations.
This dynamic position requires excellent organizational skills, attention to detail, and the ability to handle multiple priorities in a fast-paced environment.
Responsibilities:
- Project Management:
Assist in the planning, coordinating, and executing various projects.
This includes tracking project progress, meeting deadlines, and managing project documentation.
- Client Relations Management:
Serve as clients' primary point of contact, maintaining positive relationships and meeting their needs.
This includes managing client inquiries, client visits, and coordinating niceties.
- Onboarding:
Facilitate the onboarding process for new employees, including preparing necessary documents, scheduling orientation sessions, and providing support during the transition period.
- Travel:
Manage executive travel arrangements, including booking flights, accommodations, and transportation.
Some travel may be required (approximately 25%).
- Administrative Assistant Duties:
Provide general administrative support, including managing calendars, scheduling meetings, preparing correspondence, and maintaining files and records.
- Onsite Operations Support:
Coordinating onsite operations and logistics, including office maintenance, supplies procurement, and equipment management.
- Spanish Speaking (Preferred, not required):
While fluency in Spanish is preferred, it is not mandatory.
However, the ability to communicate in Spanish would be an asset.
Qualifications:
- Proven experience as an Executive Assistant or in a similar role.
- Strong project management skills with the ability to prioritize and meet deadlines.
- Excellent communication and interpersonal skills, with the ability to interact professionally with clients and colleagues.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Highly organized with exceptional attention to detail.
- Ability to maintain confidentiality and discretion.
- Flexibility to adapt to changing priorities and work independently.
- A bachelor's degree in business administration or a related field is preferred.
